Executive Secretary:


Completes a broad variety of administrative tasks for the CEO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas of meeting.

An executive secretary to a CEO performs administrative tasks such as answering calls and writing memos.

They also research and write reports that can affect company policy and are typically in charge of training and supervising other office staff.

Executive assistants must have a deep understanding of what their employer does to act as a liaison between the CEO and the clerical staff


Responsibilities:


  • To act as first point of contact for the CEO, proactively and promptly reviewing & tracking on incoming enquiries, invitations, complaints & correspondence and responding directly, delegating to colleagues, or advising on responses to the CEO and Senior Management, providing clarity of outcome / actions and ensuring these are followed to resolution in a professional manner.
  • Plan, coordinate and ensures the CEO's schedule is in order.
  • To maintain short and longterm diaries for the CEO, making necessary travel, meetings and other arrangements for appointments.
  • Assists in coordinating the agenda of Senior Management team meetings and other related meetings.
  • Maintain discretion and confidentiality in relationships with all Senior Management and Board Members in all matters.
  • Adhere to compliance with applicable rules and regulations set regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.
  • Act as a backup to the office of the Group Chief Executive and assistant in arranging for Board of Directors', Committees Meetings, Business Management Committee, Investment Committee and other committee meetings, department meetings and any other internal meetings or events as and when required.
  • Perform any other activities assigned by line manager or the company.
  • Making sure Corporate Credit Card payments are up to date.

Skills and required:

Strong ability to execute work with a diversity, equity, and inclusion lens.

  • Significant executive support experience, including supporting Clevel executives. Nonprofit board experience is highlypreferred.
  • Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials.
  • Exceptional organizational skills and impeccable attention to detail.
  • High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, donors, and funded partners.
  • Make appropriate, informed decisions regarding priorities and available time.
  • Ability to complete a high volume of tasks and projects with little or no guidance.
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
  • Able to maintain a high level of integrity and discretion in handling confidential information.
  • Excellent judgment is essential.
  • Ability to switch gears at a moment's notice.
